The Cost of Spam & Bulk Email, Some Solutions

  1. Implement a corporate acceptable use policy and enforce it.
  2. Edicts don't work. Explain the problems to employees. The vast majority will cooperate once they understand the issues.
  3. Ultimately, the company determines what is unacceptable email or spam. The Can Spam Act is irrelevant to the issue.
  4. The company has an absolute right to control how employees use company email addresses.
  5. Use our DNSBL. It filters out what is commonly referred to as "main sleeze spam." In the alternative, install your own blacklist and maintain it.
  6. Someone should be delegated to at least scan mail server logs. The activities of the most abusive employees become very apparent.
  7. Once a policy is implemented, change the email addresses of those employees who receive a great deal of spam or bulk email out of policy. I have found that they will usually welcome the change. Delete the old address from the recipient table. One week should be enough time for an employee to notify their contacts.
